Quality Policy

Maano Cleaning Services is a provider of quality cleaning throughout Kimberley and Pilbara. Our client base includes commercial buildings, government facilities, retail complexes, health & aged care facilities, educational facilities, industrial complexes & public venues. Our commitment is to provide efficient, consistent, reliable and cost effective quality services that meet and exceed our customers’ requirements and expectations. Our main objectives are to continually meet our contractual obligations in a timely manner and to deal with any client feedback and requests in a professional, fast and friendly manner. These objectives are achieved through the commitment of all workers in our organisation to this Quality Policy. All our workers, from the management level through to the on-site personnel, are involved in the development, implementation and understanding of our quality practices.
Our system to ensure that the objectives of the Quality Policy are met includes:
  • Having Local Operations Management in close proximity to client sites for prompt response and supervision.
  • Limiting the number of sites for the Local Operations Management to service.
  • Effective supervision, resource allocation and site scheduling to meet agreed service levels.
  • A team that understands and is fully competent in the site security requirements, including key security and lockup procedures.
  • Ongoing staff evaluation and training.
  • State Manager overview.
  • Local Operations Management have the authority to make immediate decisions to meet client requirements.
  • Audited customised inspection reports to ensure consistent ongoing standards.
  • Effective Communication Tools including smartphones and tablets.

Grooming Standards/Requirements Policy

For Site Based Workers:

  • Uniforms – Must be clean and ironed before commencement of each shift.
    For food safety reasons uniforms for food handlers and/or working in a food environment must not be worn when travelling to and from work.
  • Trousers – Should be navy blue or black, must be clean and pressed; Staff must wear long trousers to protect their legs.
  • Hat – Must be worn if working outdoors if the position requires.
  • Shirt / Polo Shirts – Collars must be worn down and sleeves not to be cuffed. Shirts must be tucked into trousers, unless otherwise directed.
  • Belt – If a belt is required it should be plain black approx. 1 inch wide leather with a plain gold or silver buckle.
  • Socks – Socks or pantyhose should be plain in colour
  • Shoes – Clean black, flat leather shoes, covered at toe and heel, with non-slip sole. Some positions may have or require additional personal protection e.g. steel cap shoes.
  • Jumper /Jacket – must be cleaned and ironed before commencement of each shift.
  • Name Badges / ID Cards – Where Required, it must be worn and displayed at all times as directed by your Supervisor / Manager
  • Jewellery – Workers must not wear jewellery other than a plain band ring or one small sleeper earring per ear and a watch. Jewellery is to be kept to a minimum for safety reasons.
  • Hand and fingernails – clean and kept short.
  • Hair – Hair should be neat, clean and maintained. Hairnet may be required in certain locations.

Please note that long hair may have to be tied up.

  • Face – All workers should be clean-shaven (beards and moustaches kept neat and clean). Deodorant must be applied daily, with moderate use of make-up and perfume / after shave.
  • Workers must adhere to site specific dress regulations.

Please note:

The above list is not inclusive of all requirements. Your Supervisor / Manager will inform you of any personal protective equipment.

Where workers are visiting operational sites, they must adhere to safety and grooming requirements for that work area/site.

No Smoking Policy

STATEMENT OF POLICY

In compliance with site requirements and current legislation, this site shall be entirely smoke free.

Smoking is strictly prohibited (except in designated smoking areas) within all site work areas and open spaces, including restrooms and stairwells. This policy applies to all persons on site, including visitors.

COMPLAINTS

Persons observing a violation of this policy should bring it to the attention of their supervisor.

INVESTIGATIONS

Supervisors receiving a complaint will investigate and take action to resolve the issue as soon as possible.

BREACHES OF THIS POLICY

If a person is found to have deliberately beached the No Smoking policy then that person will be subject to disciplinary action either by Maano Cleaning Services (if the person is an employee of Maano Cleaning Services ) or by their own employer. Repeated breaches will lead to more serious disciplinary action including termination of employment.

Drugs and Alcohol Policy

Company is committed to providing a safe work environment and ensuring an alcohol and drug free workplace. In order to achieve this objective, all personnel are expected to abide by this policy.

  • Each worker has a responsibility to ensure that he or she is not, by the consumption of alcohol or the taking of drugs (prescription or non-prescription), in such a state as to endanger his or her own safety at work or the safety of any other person at work.
  • Drinking alcohol and taking drugs of addiction can put your own and others health and safety at risk.
  • When you start your shift you must not be affected by alcohol or drugs. You must not drink alcohol nor take illegal drugs whilst working.
  • If you have been prescribed drugs by your doctor they may have side effects. You should tell your supervisor of any known side effects – check the label (eg “MAY CAUSE DROWSINESS”).
  • If you think someone that you are working with is under the effects of drugs or alcohol you should talk to your supervisor or worker representative if you have one – Your health and safety may be at risk.
  • Persons deemed to be affected by drugs or alcohol shall be required to stop work and shall be sent home (taxi or other means, not driving their own vehicle) until further investigation and/or medical advice is sought.
  • All workers are required to comply with the client’s drug and alcohol policy and testing requirements.

Persons found to have violated this policy will be subject to disciplinary action.

Communication and Consultation Policy

OVERVIEW

The health and safety of all workers, client personnel and visitors is of paramount importance to Maano Cleaning Services. This policy outlines Company approach to workplace consultation and communication regarding Work Health and Safety (WHS) and it is our commitment to the principles and practices of consultation included in current legislation. We recognises that there are serious civil and criminal penalties for breaches of the WHS legislation. This policy will also apply to environmental aspects.

POLICY

Company is committed to providing a safe and healthy work environment and to achieving the highest standards of performance in health, safety and the environment.

We recognise that worker consultation and participation is vital in any successful health, safety and environment system, and that it improves decision-making on health and safety matters in the workplace.

Company is committed to providing consultative arrangements for workers to be actively involved in the development and maintenance of our health, safety and environment system. Appropriate consultation measures will be employed, taking into account the nature and any special requirements of the site.

STRATEGY

This policy will be implemented by all company employee by adopting the following:

  • Encourage workers to identify and report health, safety and environment issues and concerns to management.
  • Dialogue between workers and supervisors at site level.
  • Toolbox Talk sessions held either at site or off site.
  • Use of the site notice board to alert site-based personnel of health, safety and environment issues and changes to policies and procedures.
  • Regular review and update of the policy.

Workplace Bullying and Occupational Violence Policy

Maano Cleaning Services is committed to ensuring that any workplace for which it is responsible has a healthy and safe work environment that is free from bullying and violence.

Bullying is unreasonable behaviour that is usually repeated over time, directed towards a worker or group of workers that creates a risk to health and safety. It is behaviour that any reasonable person would consider offensive, intimidating, humiliating or threatening.

Bullying and violence is not an acceptable part of the company’s work culture. We expects all workers to behave in a professional manner and to treat each other with dignity and respect when they are at work.

Bullying includes, among other things, repeated:

  • Verbal abuse and yelling
  • Humiliation through sarcasm, criticism or insults
  • Unwarranted criticism
  • Exclusion of a worker from workplace activities
  • Allocation of unpleasant tasks to a particular worker
  • Violent and aggressive behaviour

Maano Cleaning Services encourages anyone who experiences bullying or violence in a workplace for which Company is responsible or sees someone else being bullied in that workplace to report it. All reports of bullying and violence will be treated seriously and investigated promptly, confidentially and impartially. No one who reports bullying will be victimized.

Violence between workers is not tolerated under any circumstances. Managers are responsible for ensuring that no person in their group is bullied, threatened or physically hurt by other workers.

Disciplinary measures will be taken against anyone who bullies or hurts a co-worker. Measures may involve a warning, transfer, counselling, demotion or dismissal, depending on the circumstances.

Conflict Of Interest Policy

Company is committed to high standards of ethical conduct in all interactions of company workers. As the Company personnel are based on clients’ premises, conflict of interest must also be viewed from the client’s perspective.

The purpose of this policy statement is:

  • To define requirements and expected standards of behaviour in relation to conflicts of interest, confidentiality, gifts and benefits;
  • To provide guidance to staff regarding the specific action they should take when considering an actual or potential conflict of interest, including acceptance of gifts and benefits; and
  • To encourage ethical behaviour in all interactions.

  • To protect the integrity of Company;
  • To enable stakeholders to have confidence in the organisation’s integrity;

This policy statement reflects Maano Cleaning Services values of customer focus, collaboration and partnership, solutions, integrity and safety. This in turn guides our decision making, our behaviour and sets the standard for our interactions with our customers, staff, and suppliers.

  • Staff are expected to maintain high ethical standards, ensuring their work decisions, actions and behaviour are impartial, effective and professional.
  • Staff must disclose, and take reasonable steps to avoid, any conflict of interest in connection with their employment and their duties and obligations as a member of staff.
  • Staff must not make improper use of official information, or their duties, status, power or authority in order to gain a benefit or advantage for themselves or any other person.
  • Staff are expected to also consider others’ perceptions when deciding whether a conflict of interest exists.
  • When recruiting site based staff, managers will take into account potential conflicts of interest by applicants working for competitors of the client.
  • In the scheduling of jobs, managers will screen staff to eliminate conflicts of interest between the client and the cleaner.

In order to achieve the objectives of this policy, managers should work with staff to remove or minimise conflict of interest situations, to mitigate the risk of staff becoming vulnerable to improper influence or outside pressure.

Conflicts of interest are a serious breach of the ethical standards required of Company personnel. Failure to declare any conflict of interest, gifts and benefits including hospitality (apart from token value) or secondary employment, is a breach of the Code of Conduct which may result in disciplinary action up to and including termination.

Guidance to Suppliers on applying the Code of Conduct

  • Managing Workplace Health, Safety and Wellbeing

We expect suppliers to be compliant with relevant workplace health and safety laws. We also expect suppliers to take a proactive approach to employee health, safety, and wellbeing.

Suppliers should have a workplace safety system in place with policies and initiatives to support it. Suppliers may be required to provide evidence of such.

  • Treating employees respectfully and lawfully

We expect that suppliers respect appropriate workplace rights and entitlements as provided by the relevant workplace laws and regulations. For us, respect includes paying employees appropriately, giving employees their entitlements, providing a workplace free of harassment and unlawful discrimination. Suppliers should also recognise an employee’s right to freedom of association and collectively bargain.

  • Acting to Prevent Human Rights Abuses and Modern Slavery

Our suppliers should take all reasonable steps to ensure that their supply chain is not engaged in or complicit with human rights abuses. Examples of human rights abuses include forced child labour or any other forms of Modern Slavery as defined in the Australian Modern Slavery Act 2018 (Cth).

Under no circumstances should workers be required to pay fees or leave deposits to gain employment.
